The charges below apply to samples submitted under an open account. They are per sample and exclude value added tax. Turnaround is counted in working days from booking in, not from delivery.

Samples that require digestion before analysis are charged at the rate shown plus £9.15. A minimum charge of £75.00 applies to a single submission. Determinations not listed are quoted on request.

### How to submit samples

Every submission needs a completed submission form, which is available from reception, from the sampling officer, or as a download. The form asks for the client reference, the sampling point, the date and time of sampling, the determinations required and a contact for the report. A submission that arrives without a form is booked in as received but is not analysed until the form follows, and the turnaround runs from the day the form arrives.

Samples may be delivered to reception between 08:00 and 17:30 on weekdays and between 09:00 and 12:00 on Saturdays. Clients who hold a key may use the refrigerated drop box at the rear entrance outside those hours. Anything left elsewhere on the site is not accepted, and anything left in the drop box over a weekend is booked in on the Monday.

### Containers and preservation

Containers are supplied without charge in the quantities a client's usual programme requires, and are collected on the same round wherever that is practical. Containers for metals are acid-washed and must not be rinsed at the sampling point. Containers for microbiology are sterile and single-use. Samples arriving in containers this laboratory did not supply are accepted at the client's risk, and the report carries a note to that effect.

Preservation up to the point of delivery is the client's responsibility. Samples for suspended solids and for particle size need no preservative but should be kept cool and delivered within twenty-four hours. Samples for ammoniacal nitrogen should be chilled from the moment of sampling; a result on a sample that has not been is reported with a note saying so.

## Turnaround and priority work

The turnaround shown against each determination is the normal one and is counted in working days from booking in. It is the time to the issue of the report and not the time to the analysis, which is usually a day or two earlier. A submission arriving after 15:00 is booked in on the following working day.

Priority work is accepted where the laboratory has capacity. A submission marked priority is booked in ahead of the queue and reported in half the normal turnaround, rounded up to the next working day, and is charged at the rate shown plus fifty per cent. Priority cannot be arranged retrospectively: a submission already in the queue keeps its place.

## Reports

Reports are issued by e-mail to the contact named on the submission form, with a copy to the account address where the two differ. A report is issued once. A corrected report, where one is needed, is issued as a new document with its own number and says on its face what it replaces and why.

Results are reported against the method used and to the number of figures that method supports. A result below the limit of detection is reported as less than that limit and never as zero. The laboratory does not interpret results against a standard or a discharge consent unless the client asks in writing, and such an interpretation is quoted separately.

## Sampling by the laboratory

The laboratory will take samples on a client's behalf where the site is within thirty miles of Braithe Road. Sampling is charged by the visit and not by the sample: sixty-eight pounds for a visit of up to two hours and thirty-four pounds for each hour after that, with the analysis charged at the rates above. A visit that cannot be completed because the site is inaccessible is charged at half rate.

Where our own staff take the sample the report says so, and the laboratory accepts responsibility for the manner of sampling as well as for the analysis. That is the only circumstance in which it does.

## Hazardous samples

A sample known or suspected to contain anything hazardous must be declared on the submission form, with the hazard and the reason for suspecting it. An undeclared hazardous sample is a serious matter: the submission is stopped, the client is telephoned, and the laboratory may decline further work from that source until it is satisfied about the declaration.

The laboratory does not accept asbestos in any form, material of unknown provenance, or material from a site under a statutory notice without prior arrangement. Nothing in this schedule obliges the laboratory to accept a sample it judges unsafe to handle.

## Subcontracted analysis

A determination not held in-house is subcontracted to a named laboratory and charged at cost plus ten per cent. The report identifies every subcontracted result and names the laboratory that produced it. A client may refuse subcontracting on the submission form, in which case the determination is returned as not undertaken rather than sent out.

## Quality control

Every batch carries a blank, a duplicate and a spiked recovery, and is not reported until all three are within their control limits. Where a control fails, the batch is repeated from the retained sample; where the retained sample is insufficient the client is told and asked whether to resample.

The laboratory takes part in the quarterly proficiency scheme for each accredited determination. Scheme results for the last two years are available to clients on request, including the two occasions in that period on which a result fell outside the acceptable range.

### **Confidentiality**

Reports and the data behind them belong to the client, and the laboratory releases neither to a third party except where a statute requires it or the client has agreed in writing. Where a statute requires it the laboratory tells the client, unless telling the client is itself prohibited.

Anonymised results are used for the laboratory's own quality control and method development, and appear in accreditation assessments. Nothing that identifies a client or a site is used in that way.

### **Accreditation**

Accreditation covers the methods listed with the exception of the particle size method, for which results are reported as not accredited. The current schedule of accreditation is available on request and is reissued whenever it changes. A method under assessment is reported as accredited only from the date the assessment is confirmed, whatever the date of the analysis.

### **Standard conditions**

1. 1. These conditions apply to all work carried out by the laboratory unless a written agreement says otherwise.
2. 2. Results relate only to the samples as received. The laboratory does not accept responsibility for the manner of sampling unless its own staff took the sample.
3. 3. An account is due thirty days from the date of invoice. The laboratory may decline to book in further work on an account more than sixty days in arrears.
4. 4. Charges are reviewed each April. The schedule in force on the day a submission is booked in is the schedule that applies to it.
5. 5. Analysed samples are kept for twenty-eight days after the report is issued and are then disposed of. A client who needs a sample kept longer must say so on the submission form.
6. 6. The laboratory's liability for any submission is limited to the charge for that submission, except where a statute provides otherwise.
7. 7. A complaint about a report should be made in writing within twenty-eight days of its issue and will be answered within ten working days.
8. 8. These conditions are governed by the law of England and Wales.
